A flight landing time is not the same as the time you will be ready to collect your car. After a long journey to Crete, the difference can be anything from 15 minutes to well over an hour. This airport pickup timing guide helps you set realistic expectations for Heraklion and Chania, so your first holiday decision is calm, clear and free from avoidable waiting.

For most visitors, the best approach is simple: book your vehicle around your flight arrival details, then allow the rental provider to monitor the practical stages that follow. A local handover should fit your journey, not force you to rush through passport control or worry when luggage takes longer than expected.

When you enter your flight number and scheduled arrival time, this gives your rental provider the information needed to plan the handover. But scheduled landing is only the beginning. The aircraft may arrive early or late, taxi to a remote stand, or wait briefly for a gate. None of this means you have done anything wrong or need to start changing arrangements.

At Heraklion Airport, summer arrivals can be particularly busy. Several flights may land close together, and the time between touching down and reaching the arrivals area can vary. Chania Airport is often more compact, yet queues can still build during popular weekend changeover days and late-evening arrivals.

Rather than trying to predict the exact minute you will walk outside, provide accurate flight details when booking. If your flight number changes, update it as soon as possible. This is more useful than estimating a collection time based only on when you hope to leave the aircraft.

For travellers arriving from the UK or another non-Schengen country, passport control is usually the biggest variable. On a quiet day it may take only a few minutes. At busy times, particularly between late morning and early evening in peak season, it can take considerably longer.

Baggage collection comes next. If you have checked bags, allow time for them to arrive, and remember that oversized items such as pushchairs may be delivered in a separate area. Travelling with hand luggage only can shorten the process, but it does not remove the possibility of a queue at passport control.

Once you have your bags, you may need a few minutes for toilets, cash machines, a quick change of clothes for children, or simply to get everyone together. Families should build this into their expectations. Trying to move a tired child, two suitcases and a buggy through an unfamiliar airport at speed is rarely a good start to a holiday.

As a broad guide, many passengers are ready for collection 30 to 60 minutes after landing. It may be quicker with hand luggage and a quiet terminal, while a busy arrival period can take longer. The key is not to treat that range as a promise. Your flight details and good communication matter more than a rigid meeting time.

Airport handover arrangements should be clear before you travel. You should know whether your car will be delivered at the airport, where to meet your representative, what details to have ready and what to do if you cannot see them immediately. A simple instruction is far more reassuring than searching through emails while standing outside with luggage.

At ORION Rent A Car, the focus is on a straightforward airport collection for travellers arriving at Heraklion or Chania. Booking directly means your travel details can be connected to your reservation, rather than passed through several companies. It also means you know what is included before you arrive: comprehensive cover with no excess for collision damage, theft and fire, plus tyres, glass and mirrors; free kilometres; and VAT-inclusive pricing.

That clarity matters at the airport. The first minutes of your holiday should not turn into an unexpected discussion about insurance upgrades, deposits or mileage restrictions. A transparent booking lets you collect the vehicle, load your luggage and get on the road.

Keep your driving licence, booking confirmation and flight information accessible in your hand luggage or on your mobile phone. If another member of your party will drive, make sure their licence is available too. It is sensible to check that your phone has enough battery for arrival, especially if you are travelling with children or landing late.

You do not need to print a folder of documents unless you prefer paper copies. A screenshot of key collection instructions can be useful when airport Wi-Fi is busy or your mobile signal is slow. If you need a child seat, booster, additional driver or a specific vehicle size, arrange it in advance so the right equipment is ready.

Flight delays are frustrating, but they are normal travel events rather than a reason to panic about your car. The most helpful action is to notify your provider if you know your arrival has changed significantly, especially if the delay affects a late-night handover. Include your booking reference, revised flight time and flight number.

Avoid cancelling and rebooking in a rush unless you have been specifically asked to do so. Your original booking often contains the information needed to identify your arrival. If the flight number remains the same, a provider can usually follow the revised schedule more easily than if they only have a message saying, “We are late”.

Delays also work both ways. If you land early, do not assume your car must be ready the instant the aircraft doors open. Follow the agreed collection instructions and allow time for the normal airport process. A short wait is preferable to rushing out, missing luggage or leaving part of your group behind.

The airport collection is only one part of arrival-day planning. Consider when you can check into your accommodation, how far you need to drive and whether you want to stop for supplies on the way. Many villas and flats have set check-in times, while hotels may hold luggage if your room is not ready.

For north-coast stays in Hersonissos, Koutouloufari, Stalis or Malia, the drive from Heraklion Airport is usually manageable after collection, but traffic can be busy around resort areas in high season. If you are heading to a quieter south-coast village, plan more generously. Mountain roads are scenic and worthwhile, but they are not routes to tackle in a hurry after a delayed flight.

Late arrivals deserve a little extra preparation. Confirm your accommodation access instructions, know where you will park, and buy water or simple snacks if you expect shops to be closed when you arrive. This is especially helpful for families with young children and guests arriving on a late flight from the UK.

The most common mistake is arranging collection based on an idealised 15-minute airport exit. Another is booking a transfer or restaurant reservation too tightly after landing. Flight arrival, border control, luggage and collection all have variables, so leave a comfortable buffer before anything that cannot move.

It is also worth avoiding the opposite extreme: arriving at the airport many hours early for a return handover without checking your airline’s bag-drop opening time. For departures, work backwards from your flight time, your drive to the airport, fuel requirements if applicable, and the time needed for security. Early-morning flights can be quieter on the roads, but queues at security are still possible.

Finally, do not leave questions until you are at the terminal. Check collection instructions a day or two before departure, make sure your contact number is correct, and tell the provider about any meaningful change to your flight. Clear information is the simplest form of travel insurance for your arrival plans.

A well-timed airport pickup is not about chasing a perfect minute. It is about allowing for real travel, choosing clear arrangements and knowing that, once you step into the Cretan sunshine, your car and holiday plans are ready to move at a comfortable pace.
